Instructions on Placing a Spectacle Lens Reuse Order |
If you want to use Rx information from a previous order to place a new order, you can select to “Reuse” an order. You can use this feature to order a duplicate spectacle lens order for a patient, or change the patient information to order a similar Rx for another patient. Use this feature as a quick tool to place popular orders or as quick way to order a duplicate pair of lenses for a patient.
Once you have searched for and selected the order that you would like to Reuse, you can either duplicate the order, keeping all Rx information the same, or edit the order to reflect a new order containing similar information.
Editing Patient Rx Information
Using the Reuse feature, you can edit any of the patient Rx information fields to create a new order:
- Patient Last Name—On all Reuse orders, the patient last name can be edited if you would like to order a similar Rx for another patient.
- Patient First Name—On all Reuse orders, the patient first name can be edited if you would like to order a similar Rx for another patient.
- Order ID—On all Reuse orders, the previous Order Confirmation Page will be accessible by clicking on the Order ID number to the right of the “Patient First Name” field.
- Sphere—Enter the Sphere in quarter or 0.12 diopters, as specified by your lab. The default measurement for this field is quarter diopters, unless your lab supports 0.12 diopter measurements. The spherical power will default to a plus (+) unless you indicate that it is a minus (-) by entering "-" in the field.
- Cylinder—Enter the Cylinder in quarter or 0.12 diopters, as specified by your lab. The default measurement for this field is in quarter diopters, unless your lab supports 0.12 diopter measurements. The cylinder power defaults to a minus (-) unless you indicate that it is a plus (+) by entering a "+" in the field.
- Axis—Enter the value in a range of 1 to 180 degrees (0 and 180 degrees are equivalent Axis values).
- Addition—Enter the Addition in quarter diopters.
- Copy Fields—The small arrows allow you to copy values from the Right Eye (RE) fields to the Left Eye (LE) fields.
- Distance PD and Near PD—Enter the patient’s measurements in half-millimeter increments in the appropriate fields. PDs must be entered in monocular form.
- Height—Enter the measurement in half-millimeter increments. For a single vision Rx, the Height field is automatically populated with the optical center (Note: By default, the optical center value for a single vision lens is pre-populated after the “B” measurement is entered and is equal to ½ the “B” measurement. It may be edited if necessary. For a progressive Rx, the Height is the fitting height. For other multi-focal Rx, the Height is the segment height).
- Prism—If the Rx requires prism values, enter those values here.
Editing Supplier, Lens and Frame Information
Since a Reuse Order is simply a new order created from existing order data, you can edit the Laboratory information, Job Type, Lens Type, Lens Design, Lens Material or Treatment Options to reflect the new order that you would like to place.
- Laboratory—Select a supplier from the list of suppliers that you have set up in the My Account section. Once you have selected your supplier, your screen will refresh as the ordering engine accesses the selected laboratory’s customized “smart” catalogs. These “smart” catalogs only show you products available from your selected supplier and help ensure error-free lens ordering.
- Billing/Shipping Accounts—Upon selecting a supplier, you will be able to select from your available billing/shipping accounts for the supplier. If you only have one billing/shipping account, the field will be pre-populated.
- Job Type—Select a job type based on how you wish the lens to be finished. The supplier determines available Job Types.
- Lens Type—Select a lens type for the job. Lens type choices are determined by the prescription. The screen will refresh to display the available lens design, material, and treatment options for the chosen lens.
- Lens Design—Select a lens design by highlighting the item.
- Lens Material—Select a lens material by highlighting the item.
- Available Treatments—Click the selected treatment option and the treatment will be moved to the Selected Treatments field. You may select multiple treatments if applicable to the product.
- Reset—To remove treatment options or reset the Lens Type, Lens Design and Lens Material fields, click the "Reset" button.
- Treatment Comments to Lab—If applicable, enter tint color, mirror color, density, or other comments. Special instructions to the lab should not be entered in this field.
- Frame Measurements and Lens Thickness Information—Frame measurements and thickness information can be entered by keying the data directly, or uploading a trace file.
- Office PO Number—Record any numeric tracking numbers for the order, such as a purchase order number, invoice number, patient identification number, or tray number.
- Special Instructions—Enter any special instructions relative to this job. This field is not for ordering products not found in the product catalog.
Completing the Order
- Send Order Now—After all changes have been made to the Reuse order, check over the entire Reuse order and click the “Send Order Now” button to submit the order. (Note: Reuse orders may not be saved to Pending Orders.)
- Error Checking—At this point in the ordering process, you will be alerted if any errors have occurred in your order. You will be directed on the location of these errors and will be able to make changes.
Order Confirmation Page
After you send the Reuse order, you will be redirected to the Reuse Order Confirmation page. On this page you will be able to review the Reuse order that was sent. After reviewing the order you can select from the following options:
- New Order—On the Reuse Order Confirmation Page, click the "New Order" button to place a new Rx Lens order.
- Reuse—Click the "Reuse" button to reuse the same order as a new order.
- Order Status—Click the "Order Status" button to go to the Order Status page.
- Pending Orders—Click the "Pending Orders" button to view the Pending Orders page.
